Replenishment Administrator

Job Introduction


As we continue our mission to make people and nature happy through reinventing chocolate, we’re looking for a Replenishment Administrator to join our Outbound Supply team on a permanent basis. 

As Replenishment Administrator, you will play vital part in supporting our Outbound Supply function to continuously deliver strong availability, sales and stock accuracy across our selling channels. 

Working in collaboration with our commercial, planning and operational teams, you will help to ensure that data, tasks and reporting are completed accurately and on time to enable a smooth stock flow across our vertically integrated business. 


Salary: £27,153.44 per annum 


As well as a competitive salary and a range of company benefits, you’ll receive 50% discount on all products, and a 70% discount for you and your guests when you stay at our Rabot Estate hideaway on the paradise island of Saint Lucia. 


Here at Hotel Chocolat, we've adopted hybrid working. This means you’ll join us on site for three days a week, and for the other two days – you can work from wherever you like! The on-site location for this role is our support office, ‘Mint House’, in Royston, Hertfordshire. Our home from the very beginning, it’s just off the A505 and 10 minutes’ walk from Royston train station, with direct rail links to London King’s Cross.


What you’ll be doing….

  • Maintain accurate data entry across replenishment systems.
  • Process daily and weekly replenishment system actions to ensure timely and accurate stock orders for DC picking and fulfilment.
  • Monitor and resolve system‑generated exceptions, escalating issues to other team members where required.
  • Prepare, update and distribute accurate daily/weekly reporting to support availability, stock health and trading conversations.
  • Identify risks or opportunities in stock flow or system outputs, based on trend analysis or exceptions.
  • Provide administrative and analytical support for on-going products, launches, seasonal activity and DComm availability checks.
  • Communicate clearly with internal stakeholders to ensure stock flow aligns with business priorities.
  • Support team with ad-hoc analysis and tasks as required.
  • Deputise for other team members as required.

 

Who you are…

Essential 

  • Strong attention to detail and accuracy in data handling.
  • Ability to prioritise and execute tasks in a fast‑paced, customer‑focused environment.
  • Effective communication skills.
  • Comfortable using spreadsheets for reporting and analysis.
  • Positive, proactive approach to problem solving and continuous learning.

 

Desirable 

  • Understanding of stock, availability or replenishment processes.
  • Familiarity with replenishment or ERP systems (training provided).
  • Strong analytical mindset with interest in data and commercial performance.
  • Awareness of vertically integrated supply chains.
