Job Introduction

We’re looking for a Payroll Coordinator to join our People & Organisation team.

At Hotel Chocolat, we’ve built a business on three core values: Be Brave, Be Kind, and Be Original. As we continue to grow, we’re looking for a meticulous and proactive Payroll Coordinator to help ensure our 2,500 UK employees are paid accurately and on time, every time.

About the Role

As Payroll Coordinator, you’ll be responsible for the accurate and timely administration of our monthly UK payroll and benefits. You’ll work collaboratively across the business, providing expert support, maintaining compliance, and ensuring data integrity at every stage of the payroll cycle.

This role requires strong attention to detail, a methodical mindset, and the confidence to analyse, problem-solve and continuously improve processes.


What You’ll Be Doing

  • Processing payroll-related information for circa 2,500 UK employees on a monthly basis, including:

    • Starters and leavers

    • Salary changes and job updates

    • Fixed and variable pay data

    • Absence and statutory payments

    • Tax codes, student and postgraduate loans

    • Attachment of earnings orders

    • Benefits administration

  • Manually calculating payments, deductions, and gross-to-net calculations with confidence

  • Administering and maintaining pension schemes

  • Performing data validation checks and compliance reporting to ensure accuracy and integrity

  • Supporting month-end processes and annual audit activity

  • Writing queries and preparing payroll reports for the wider business

  • Analysing data to identify issues and proactively solve problems

  • Maintaining and updating process documentation to ensure efficiency and continuity

  • Building strong relationships with managers and stakeholders across the business

  • Responding to payroll queries from employees, managers and third parties within agreed SLAs

  • Administering password reset requests

  • Continuously developing your knowledge of payroll legislation and statutory requirements


What We’re Looking For

Essential

  • Previous end-to-end UK payroll experience

  • Intermediate (or above) Excel skills

  • Strong numerical ability with experience manually calculating payroll

  • Methodical and logical approach

  • Meticulous attention to detail

  • Confident and effective communicator

  • Highly organised with excellent planning skills

  • Adaptable and comfortable working in a changing environment

  • Positive team player

  • Proactive problem-solving mindset

Desirable

  • GCSE (or equivalent) Maths and English, Grade C/4 or above

  • Experience using ADP Freedom and/or Cascade HR

  • Payroll Technician qualification or other formal payroll qualification
